Workpapers

The controls explained in this section are available to RadiusCore Administrators only.

RadiusCore's workpapers can be customised at a subscription-level to provide a tailored user experience for:

  • workpaper states;
  • workpaper tab colours; and
  • review system permissions.

To configure a subscription's Workpapers either:

  • Select Run Setup Wizard from the Administrator Dashboard to launch the two-step setup wizard.
  • Using the drop-down menu, select a specific component to configure.

Step 1: Workpaper State

Setup workpaper states to suit desired workpaper management.

Workpaper States

Workpaper states are used to track the progress of individual workpapers as a job progresses, and are assigned to each workpaper using a drop-down menu either on the Excel ribbon or the workpaper index page. They form one aspect of the workpaper Review System, functioning in conjunction with digital signatures.

  • To add a new workpaper state select Add Workpaper State.
  • To edit or delete a workpaper state, double-click the relevant item listed in the table.
  • Use drag-and-drop to reorder existing job states within the table. States should be ordered first (i.e., Not Started) to last (i.e., Finished).

A workpaper state has a two components:

Component Description
Name A descriptor of the workpaper state, used to display the active state and in drop-down lists when changing the workpaper state.
Tab Colour Apply a custom colour to the spreadsheet tab in Excel when the state is applied. Very useful for tracking workpaper state at a glance.

Workpaper State Mapping

While the individual workpaper states are fully configurable by the user, there are a number of pre-defined workpaper actions that require a state to be applied. For these to function, configured workpaper states must be mapped to the required action.

If, at any stage during configuration of workpaper state mapping, you are unable to select the desired state, try reordering workpaper states using the table or change the state mapped to the preceding workpaper action.

Workpaper Action Description
Default / Start State The default state that all workpapers will automatically be assigned when they have been activated/selected but not yet had any work done on them.

This should be one of the first workpaper states on the list.
In Progress State The state which indicates a workpaper has been started but is not yet finished (i.e., has no digital signatures applied).

Set this to the same as the Default / Start Sate if you don't wish to distinguish between these two states.
Awaiting Queries State The workpaper state which indicates a workpaper is waiting for queries to be answered before it can be completed.

The selected state can be anywhere in the state order.
Staff Digitally Signed This state will automatically be applied to a workpaper when it is digitally signed by the Staff / preparer.

The selected state must be listed after the In Progress state. If you are unable to select the desired state, try reordering workpaper states using the table or change the mapped In Progress state.
Manager Digitally Signed This state will automatically be applied to a workpaper when it is digitally signed by the Manager / Reviewer.

The selected state must be listed after the Staff Digitally Signed state above.
Partner Digitally Signed This state will automatically be applied to a workpaper when it is digitally signed by the Partner.

The selected state must be listed after the Manager Digitally Signed state above.

Step 2: Review System

RadiusCore features a built-in review system to enable digital review of workpaper contents. In this section, you can configure who can sign workpapers by limiting permissions.

Two sources of user permission are available for configuration, at least one of which must be selected. The two options can be used in conjunction with each other.

Permission Description
Xero Practice Manager Use job settings from Xero Practice Manager (XPM) to determine who can digitally sign workpapers.*

The XPM field used to assign permissions can be customised at each level. Either a standard job field (i.e., Manager) or job custom field** (text or dropdown) can be used.
RadiusCore User Permissions Use RadiusCore user permissions to determine who can digitally sign workpapers.

RadiusCore user accounts have integrated settings to determine Manager and partner permissions. These can be configured using the Manage User Accounts dashboard.
Both Permissions Enabled If both Xero Practice Manager (XPM) and RadiusCore permissions are enabled, XPM permissions will be applied in the first instance however users will have the ability to override these restrictions using their RadiusCore permissions.

* If a workpaper is not linked to a XPM job in the setup process, RadiusCore user permissions will be used regardless of user configuration.
** For a custom field to correctly function, its value must be set to the exact same as the staff member's name in XPM (i.e., John Doe).
